I doubt he has Access installed, most admins install only Word and Excel...
Anyhow, you can use this template, very easy to customize to your needs.
Hey, i'm for hire - i'll write any programs you guys want, you'll install my next AC
(last one took me the whole weekend to do it and drilling 3" holes through brick, 20 feet up on the ladder, is no fun)
... just kidding, my stuff is on SourceForge and FreashMeat anyhow... You might find something there as well, but is mostly *nix stuff, not windoze

MS Access is the way to go IF you have access to it. The guys have really given some very good info in their replies. A simple database is a collection of "cross-linked" easily searched information and usually contained in one file while with a spreadsheet you may end up with many different files. And, I think, it's much easier to enter info into a database. You can use Visual Basic to dress up either one and make it look professional and get a raise.
The picture in my avatar is of the Houston Ship Channel and was taken from my backyard. I like to sit outside and slap mosquitos while watching countless supertankers, barges and cargo ships of every shape and size carry all sorts of deadly toxins to and fro. It's really beautiful at times.....just don't eat the three eyed fish....
